At a Glance
Power Automate automates the Microsoft 365 workday. appRules governs the AI decisions and data operations behind your systems of record. Together, they cover both.
Microsoft Power Automate is the automation tool many enterprises already own. It's included for standard connectors in qualifying Microsoft 365 plans, offers more than 1,000 connectors, combines cloud flows with desktop RPA, and lets Copilot generate flows from natural language. For approvals, notifications, and everyday Microsoft 365 work, it's an excellent choice — and appRules isn't trying to replace it.
appRules is built for a different layer: AI decisions and data operations that touch systems of record, run at enterprise scale, and must be governed and auditable end to end. Built by a team that has engineered on Microsoft technology for more than 20 years, appRules works naturally alongside Power Automate — sharing the same SharePoint lists, Dataverse tables, Excel files, and Teams channels — and extends governed automation to every other system you run.
Who Does What Best
| Workload | appRules AI Automation Engine | Power Automate |
|---|---|---|
| Everyday Microsoft 365 automation | Writes its results into SharePoint, Excel, Teams, Dataverse, and Dynamics 365 — right where Power Automate flows can pick them up | A natural fit: approvals, notifications, and flows triggered from Outlook, Teams, SharePoint, and Forms, with standard connectors included in qualifying Microsoft 365 plans |
| Legacy screens without APIs | Connects at the data and API level wherever a connector exists — full read/write across 36 connector categories | Desktop flows (RPA) automate Windows applications, websites, and legacy systems, attended or unattended |
| Governed AI decisions on systems of record | GuardRailed Automation: guided, validated design; rule-governed AI with Model Cross-Validation; validated actions and post-conditions on every write; tamper-proof logs | Copilot generates flows from natural-language descriptions; AI capabilities are metered through Copilot Credits |
| Enterprise data integration, migration, and replication | Core heritage: the same platform already runs production integration, migration, and replication workloads, driven by a live metadata model | Designed primarily for process and task automation across apps and services |
| Long-running, high-volume jobs | Multiple job servers, shared job groups, load balancing, caching, and runs lasting days or months — with live pause, cancel, and set-value control | Process licenses include a daily entitlement of 250,000 actions, and capacity can be shared across flows |
| Systems beyond Microsoft | Metadata-driven, full read/write connectors for SAP, Oracle, Salesforce, Workday, and hundreds more, plus the MCP Connector Directory — licensed by edition | More than 1,000 connectors; premium and custom connectors require premium licensing |
| AI agents | The appRules MCP Server works with MCP clients including Microsoft Copilot Studio, so agents can call governed appRules workflows | Copilot Studio builds Microsoft agents and agent flows |
| Deployment | Windows desktop, Windows Server with IIS, or Azure | A Microsoft cloud service; desktop flows run on Windows machines |
Better Together: Four Coexistence Patterns
Because both platforms work with the same Microsoft 365 and Dataverse data, they can hand work to each other without custom glue code.
appRules Decides, Power Automate Notifies
appRules runs a governed AI decision — classifying a claim, scoring a lead, validating an invoice — and writes the result to a SharePoint list or Dataverse table. A Power Automate flow triggered by the new item routes the approval or notification in Teams or Outlook.
Power Automate Collects, appRules Processes
Power Automate gathers submissions and attachments from Forms and Outlook into SharePoint or OneDrive. appRules picks them up on schedule through its Microsoft connectors, applies governed AI and validation, and writes clean, validated data into Dynamics 365, SAP, Oracle, or any other system of record.
Copilot Studio Asks, appRules Acts
A Microsoft agent built in Copilot Studio calls an appRules workflow through the appRules MCP Server. The agent supplies the intelligence; appRules holds the authority — validating every input, executing only tested actions, and logging every step. See Contain the Model.
Microsoft in Front, Everything Else Behind
Power Automate keeps the user experience inside Microsoft 365. Behind it, appRules reaches the systems Microsoft connectors don't cover deeply — with metadata-driven, full read/write connectors and runs that can last days or months.
What appRules Adds to a Power Automate Estate
GuardRailed Automation
Governance across the whole lifecycle: GuardRailed Design channels every build choice through guided, metadata-driven dialogs and validates as you build; GuardRailed Execution validates every action at run time.
Rule-Governed AI
AI advises; appRules acts. Model Cross-Validation runs multiple models, and deterministic rules — not another model — decide what their answers mean, including a fail-safe when models disagree.
Enterprise Data Depth
Integration, migration, and replication on a live metadata model of entities, relationships, and picklists — across Microsoft and every other ecosystem you run.
Scale and Control
Job servers, load balancing, and long-running jobs, with an emergency brake: authorized users can pause or cancel any run mid-task, and tamper-proof logs record every decision.
